Local Data Record Creation

The United States Newspaper Program uses the master bibliographic record convention to account for the various physical formats in which a newspaper is held. With the master record convention, the bibliographic record identifies and describes the newspaper as it was originally published. The local data records describe each repository's issue-specific holdings in each of the various physical formats in which the newspaper is held. Most often, the physical format is either paper or microfilm. In order to create a local data record in the OCLC Online Union Catalog, it is necessary to know the extent of any particular title that an institution may hold. Because the completion of inventory calendars for newspaper runs greater that ten years is unrealistic, in such cases we are requesting that institutions only report missing issues.

For runs less than ten years, use the holdings calendar (duplicate as necessary) and record the title (as it appears on the masthead), the year of publication, and the format of the material. Indicate holdings for each title by circling those dates retained by the institution. Record gaps by placing an "x" on the date where the missing issue(s) would normally occur.
