Interlibrary Loan and Document Delivery FAQ

What is Interlibrary Loan (ILL)?

Interlibrary Loan (ILL) provides materials that are not available in the Bailey/Howe Library.

Who can use ILL?

All University of Vermont faculty, staff, students and visiting scholars currently employed/registered with the University are eligible to request material.

How do I request an ILL?

You can request an ILL by using the ILLiad Interlibrary Loan system. Logon here.

How much does ILL cost?

Currently there is no cost. Should a fee be necessary, you would be contacted via email before the item is ordered.

How long does ILL take?

- Material is usually ordered 1-2 business days after the request is received.
- Copies usually arrive in 2-7 business days.
- Loans usually arrive in 7-14 business days.
- Material that is difficult to obtain (e.g. media, rare items, etc.) may take longer.

What types of material can I request through ILL?

Any material not owned by the UVM libraries can be ordered. Users who have long-term need of publications can recommend a purchase. Items that are in use may be recalled.

What cannot be borrowed through ILL?

Class textbooks/required material cannot be ordered through ILL. Textbooks should be purchased. Read the policy

Although we will attempt to fill almost any other request submitted, the following types of material often are difficult to obtain and will take longer through interlibrary loan: reference sets, whole periodical issues, a/v materials, software, genealogy, test materials, maps, unpublished works, rare materials. Requests for this type of material will be processed, but owning libraries could decide not to loan the material. If that is the case, you will be notified via email.

Archival material usually cannot be ordered through interlibrary loan. Please contact the interlibrary loan office with questions about archival material.

How do I cancel an ILL request?

Log into your ILLiad account.
Click on the Transaction Number
Click the red Cancel link at the top of the page
If Cancel does not appear, contact the ILL office

Where do I pick up my material?

When the material arrives, you will be notified via e-mail. Items to be picked up are held at the Circulation Desk, Bailey/Howe Library. Loans cannot be sent through campus mail.

Articles are sent electronically. To view articles, login to your ILLiad Account.

How long can I keep my material?

For books and other loaned items, the due date is always set by the lending library and may be recalled by the lending library at any time. Material cannot be kept for the entire semester. The due date is indicated on the band on the material. Unless otherwise indicated, renewals may be possible. To ask for a renewal on your item, please login to your ILLiad Account. What are overdue penalties?

- Material returned late is subject to a minimum $10.00 fine. - Recalled items are subject to a $20 fine.

What can be requested?

  • Book chapters and journal articles from the Bailey/Howe Library main stacks and Library Research Annex.
  • Book chapters and journal articles from the Bailey/Howe Library microform collections.
  • To go on hold at Circulation Desk for loan: Print books from the Bailey/Howe Library main stacks and Library Research Annex.

Are there limits on what can be copied?

The Library has established copyright guidelines based on the copyright law of the United States and current practices in other academic libraries.

"The copyright law of the United States (Title 17, United States Code) governs the making of photocopies or other reproductions of copyrighted materials. Under certain conditions specified in the law, libraries and archives are authorized to furnish a photocopy or other reproduction. One of these specified conditions is that the photocopy or reproduction is not to be "used for any purpose other than private study, scholarship, or research".

If a user makes a request for, or later uses, a photocopy or reproduction for purposes in excess of "fair use," that user many be liable for copyright infringement.

In order to operate within the guidelines of "fair use" while striving to provide access to research materials, copyright policies for article and book chapter requests are as follows.

The Library will not scan:

  • More than one chapter from a book.
  • More than one article from a journal issue or newspaper.
  • Articles or book chapters longer than 50 pages or more than 10% of the journal / book.
  • Microfilm or microfiche scans longer than 30 pages.
  • Material from Government Documents.
  • Material from Special Collections.
  • Materials on Course Reserve.
  • Any request that violates the University of Vermont copyright policy.

Users who need more than one chapter from a book or one article from a journal issue are encouraged to visit the Library to use these materials in person.

How long does it take for material to arrive?

Items are usually delivered in 1-3 business days.

How will articles be delivered?

Articles will be delivered in PDF format to requestors' ILLIAD accounts. Users will receive an email notification when an article has been scanned and delivered to their account. Once delivered, articles are stored for 30 days, then DELETED from the server.

How do I place a request?

Requests are placed in your Illiad account. After logging in, choose Document Delivery request from the choices on the lefthand side and fill out the form with the citation information. A separate request must be placed for each article or chapter to be scanned. First-time Illiad users should register for an account here.
