Creating A Powerpoint Presentation

Introduction

The PowerPoint 2002 screen may contain up to three frames:

  • The left frame has two tabs: Outline and Slide. Be sure the Slide tab is selected.
  • The middle frame is a representation of the slides you will be creating. We'll work with this frame.
  • The right frame which MAY be visible is New Presentation task pane. This "help" window is more confusing than helpful, so you can click on the X to the right of New Presentation to close it.
Things To Consider Before Starting
  • Graphics are more visible on a white or solid-color background.
  • Printed slides are more legible on a white or solid-color background.
  • Save your presentation frequently!!!
Getting Started
  • View Toolbars
    • In the PowerPoint Menu, go to View | Toolbars.
    • Click on Standard.
    • In the PowerPoint Menu, go to View | Toolbars.
    • Click on Formatting.
  • Show Entire Toolbars
    • In the PowerPoint Menu, go to View | Toolbars.
    • Select Customize.
    • Click on the Options tab.
    • Make sure the boxes beside the following have been selected.
      • Show Standard and Formatting toolbars in two rows.
      • Always show full menus.

Correct Errors
  • To Undo Actions
  • Note: Multiple actions must be undone in sequence.

    • To undo a single action, click on the Undo button on the Standard Toolbar.
    • To undo several actions, click on the next to the Undo button
  • To Redo Actions
  • Note: Multiple actions must be redone in sequence.

    • To redo a single action, click on the Redo button on the Standard Toolbar.
    • To redo several actions, click on the next to the Redo button in the Standard toolbar.
Select A Template
  • In the PowerPoint Menu, go to Format | Slide Design.
  • A selection of templates appears in the right pane. Click on a background to select it.
  • After making your selection, close the right pane by clicking on the X button to the right of Slide design .
Create The Title Slide
  • This slide is the first slide that appears when creating a new presentation. The default layout is Title and subtitle.
  • Click in the boxes to add text. To close a box after typing text, click in the background area of the slide.
  • When finished, continue with "Slide Layout".
Slide Layouts

PowerPoint slides can contain:

  • Text in the form of bulleted lists.
  • Graphics.
  • Both text and graphics.

Each of these options is a slide layout. You can choose the a slide layout for each new slide.

Choosing Slide Layouts
  • In the PowerPoint Menu, click on Format | Slide Layout.
  • A selection of slide layouts appears in the right pane. When you place your mouse over a slide layout and pause for a moment, a description appears.
  • Continue with Insert New Slide.
Insert New Slides
  • When you find a slide layout that suits your needs, click on the ▼ on the slide layout and select Insert New Slide.
  • Repeat this process to continue to add new slides.
  • Slides With Text
    • Adding Text
      • Click in the boxes to add text. To close a box, click in the background area of the slide.
      • When finished, continue with "Slide Layout".
    • Subscripts and Superscripts
      • Select the text to be changed.
      • To apply subscripts: hold down the Ctrl key while you press the (+=) key on the keyboard .
      • To apply superscripts: hold down the Ctrl and Shift keys while you press the (+=) key on the keyboard.
  • Slides With Graphics
    • Insert A Graphic
    • The following instructions assume you have your own graphic.

      • When a slide layout with a graphic is chosen, an icon appears which instruct you to "Double Click to Add ClipArt". Ignore this icon.
      • In the PowerPoint Menu, click on Insert | Picture | From File.
      • Navigate to you graphic. Double click on the file name to insert it into the slide.
    • Resize The Graphic
      • To increase or decrease the size of the graphic, place the cursor on the little white circle in the corner of the graphic and drag. This keeps the graphic's height and width in proportion.
    • Reposition The Graphic On The Slide
      • To change the position of the graphic on the slide, place the cursor over the graphic. The cursor becomes a four-headed arrow. Click, hold, and drag to move the graphic.
Working With Slides
  • Change The Order Of Slides
    • In the PowerPoint Menu, go to View | Slide Sorter.
    • Click once on the slide to select it. A black border appears around the slide.
    • Place the cursor on the slide again, click/hold, and drag the slide. A vertical black line indicates the position of the slide.
  • Delete Slides
    • In the PowerPoint Menu, go to View | Slide Sorter.
    • Click once on the slide to select it. A black border appears around the slide.
    • Press the "Delete" key on the keyboard.
Printing Slides
  • One Slide On A Page
    • In the PowerPoint Menu, go to File |Print.
    • Under the "Print Range" section, indicate slides to print.
    • Make sure under "Print What", "Slide" is selected.
    • Make sure the box beside "Scale to Fit Paper" is checked.
    • Click on the "OK" button.
  • More Than One Slide On A Page
    • In the PowerPoint Menu, go to File | Print.
    • Under the "Print Range" section, indicate slides to print.
    • Make sure under "Print What", "Handouts" is selected.
    • Under the Handouts section, indicate the number of slides to print on a page.
    • Click on the "OK" button.
  • Slides And Note Space
    • In the PowerPoint Menu, go to File | Print.
    • Under the "Print Range" section, indicate slides to print.
    • Make sure under "Print What", "Handouts" is selected.
    • Under "Handouts", indicate "3" as the number of slides to be printed per page- slides will print on the left side, lines for notes on the right side of each page.
    • Click on the "OK" button.
Your Presentation

Hint: Save your presentation with a ".pps" extension instead of a ".ppt" extension once you finish creating it. The slide show will run immediately when the file name is double-clicked, instead of having to open PowerPoint first.

  • If you chose not to do this: in the PowerPoint Menu, go to File View | Slide Show.
  • Press the "Enter" key to proceed through the show.
  • To end the show: click the right mouse button and select "End show".
